Understanding the Bid Process in TrueBuilt:

TrueBuilt’s Supplier Management Module is designed for sending quotes to suppliers and subcontractors, leveling responses, and integrating selected pricing into the estimate.

  • The process includes:
    • Selecting items to request supplier pricing.
    • Sending bid requests via TrueBuilt or external email.
    • Comparing and leveling received quotes.
    • Integrating selected quotes into the estimate.

Preparing and Sending a Bid Request:

Selecting Items for Bidding:

  • Identify materials or subcontracted work requiring external pricing.
  • Highlight items in the estimate and move them to the Quote.

Creating a Bid Request:

  • Click “+ New Quote” and choose between supplier quote request or subcontractor proposal request.
  • Add item details, expected quantities, and preferred delivery timelines.

Sending a Bid Request:

  • Option 1: Send the bid directly through TrueBuilt’s internal messaging system.
  • Option 2: Export bid details and send via external email.
  • Attach plans, specifications, or scope of work documents.

Receiving & Leveling Quotes:

Managing Incoming Quotes:

  • Suppliers and subcontractors can submit quotes directly via TrueBuilt.
  • Manually enter quotes received via email or phone.
  • View all responses in a side-by-side comparison table.

Quote Leveling Process:

  • Compare pricing, lead times, and terms between vendors.
  • Normalize costs by adjusting for inclusions/exclusions, delivery fees, and volume discounts.
  • Identify the most competitive and reliable supplier based on price, availability, and past performance.

Selecting the Winning Quote:

  • Choose the most suitable quote for each bid item.
  • Automatically update the estimate database with selected pricing.

Updating the Estimate:

  • Approved supplier prices override preliminary cost estimates.
  • Adjust final estimate values based on actual supplier/subcontractor pricing.
  • Apply bulk cost adjustments across multiple items if necessary.

Submitting the Finalized Estimate:

  • Converting the Estimate into a Client Proposal:
  • Generate a client-facing proposal with detailed pricing breakdowns.
  • Customize proposal format with company branding and legal disclaimers.
